Summary

The Spokane Northeast Youth Center is dedicated to strengthening the community by offering quality programs that promote youth development, healthy living, and social responsibility. The Administrative Assistant, under the supervision of the Executive Director, supports the leadership team by performing various clerical and administrative tasks. This role is crucial for ensuring smooth office operations and coordinating transport and field trips our school-age program. The ideal candidate should be organized, detail-oriented, and possess strong communication skills to interact effectively with parents, guardians, staff, and management.

Duties

We are hiring for a Morning Administrative Assistant. Hours are M-F 6am-9am; 15 hours/wk


The following duties are typical for this position:

·      Answer and direct calls using a multi-line phone system.

·      Assist Directors and Managers with administrative tasks, as needed.

·      Assist Recreation Leaders with the preparation of supplies for activities, as needed.

·      Manages the bus boards process by preparing boards before pick up, receiving calls from drivers picking up children, and communicating arrival details to the appropriate teams.

·      Track daily attendance of children and staff.

·      Maintain organized filing of confidential documents.

·      Process and record payments from parents/guardians.

·      Escort children to and from parents/guardians as needed.

·      Monitor and manage inventory of office supplies.

·      Ensure children and parent files are complete, accurate, and up to date.

·      Communicate effectively with parents, guardians, staff, and management regarding program updates and concerns.

·      Maintain a clean, organized office space and foyer.

·      Support registration accuracy and compliance with program policies.

·      Transfer immunization records to the Washington State immunization record form.

·      Administer medications to children, as needed.

·      Assist with child registration and enrollment in programs, including copying and distributing registration packets and other necessary forms.

·      Coordinate field trips with school-age staff, including scheduling, communication, and necessary documentation.

·      Maintain and refill School-Age First Aid supplies.

·  Perform other duties as assigned by management.

Requirements

REQUIRED QUALIFICATIONS

·      Ability to effectively communicate in English, both verbally and in writing. Multilingual applicants are encouraged to apply.

·      A high school diploma or equivalent is required.

·      Proficiency in Microsoft Office or Google Suite, specifically Word/Google Docs and Excel/Google Sheets.

·      Must have a clean driving record for AT LEAST five (5) years.

·      Pre-employment requirements: Copy of valid driver’s license, proof of Tuberculin skin (TB) test, copy of immunization record that includes Measles/Mumps/Rubella (MMR) vaccination and COVID vaccination or exception, Food Handler’s card.

·      Ability to pass background checks, including criminal history, child abuse – including Washington State Department of Children, Youth, and Families (DCYF), and motor vehicle records.

·      Must obtain First Aid/CPR and Bloodborne Pathogens certification within two (2) weeks of hire and complete all other job-specific required training as instructed.

PREFERRED QUALIFICATIONS

·      Previous experience in an administrative or customer service role.

·      Completion or enrollment in a higher education program.

·      In-depth knowledge/training of Washington Administrative Code (WAC) for childcare facilities.
