Summary

Seeking a Part Time Office Assistant for our Contract Sales staff, to support daily administrative operations. The ideal candidate will be organized, detail oriented, and have great communication skills and is capable of handling multiple tasks efficiently in a fast-paced environment.

Duties

  • Assist Contract Sales staff with daily administrative tasks
  • Prepare and process purchase orders and supplier/vendor invoices
  • Enter subcontractor weekly pay by project
  • Prepare invoices, follow up on past-due accounts, and assist with monthly billing
  • Communicate professionally with customers, vendors, and subcontractors
  • Maintain organized files and manage general office supplies and cleanliness
  • Generate bi-weekly project sales reports for each sales team member, tracking all open projects ensuring billing and invoicing are current and accurate.

Requirements

  • Reliable, professional, and detail oriented
  • Self-motivated and able to manage workload efficiently without daily oversight
  • Strong organizational and communication skills
  • Proficient in data entry and computer use
  • Experience managing and using a multi phone line system
  • Quick Learner: training on company software will be provided
  • Prior billing experience is beneficial but not required
  • Ability to handle multiple tasks in a fast-paced environment
  • Strong problem-solving skills and proactive approach to work

Benefits

Hours Monday-Friday 9:00 AM-2:00 PM (Negotiable)

All major holidays paid and up to one week PTO per year.
