Summary
The Finance and Systems Administrator is responsible for the integrity of the Company's transactional accounting, as well as overseeing and maintaining all Business Systems. Working alongside the Finance Manager, this role oversees the confirmation, substantiation, and validation of all financial transactions of the organization as well as the systems that handle these transactions.
Duties
Accounts Payable Management
- Receive, Review and Distribute all Incoming Invoices for Approval by Respective Staff
- Confirm Coding and Enter Invoices into Accounting Software after proper approval received
- Electronically upload Substantiating Documentation to Related Transactions to Accounting System
- Process Payment Runs (Check & ACH) Under the Supervision of the Finance Manager
- Manage Corporate Credit Card Charges/Monthly Statement Reconciliation
- Vendor Maintenance Including Requesting Updating W-9's & Issuing 1099s
Accounts Receivable Management
- Processing of Weekly Tuition Charges & Payments through Childcare Management System
- Management of Waitlist System and Related Charges/Payments Received
- Deposit of Any Physical Checks and/or Cash into Bank
- Management of CCDFS Process (Applications, Claims, Payments Received. Etc.)
- Posting of Non-Integrated Tuition Payments Received into Childcare Management System
- Entry of Payments Received into Accounting System (Physical & Electronic)
- Electronically Upload Substantiating Documentation to Related Transactions
- Management of Government Forms & Reporting
- Monitoring of Family Accounts, Balances and Subsequent Outreach for Resolution
Business Systems Management
- Assessing Current Childcare Management & Accounting Systems are Optimized for Agency and Centers
- Integrating Systems When Applicable
- Ensuring Childcare Management & Financial System Disruptions and Outages are Communicated to Staff
Other Finance & Administrative Duties
- Assistance to Finance Manager as Needed with Additional Projects and Reporting
- Assistance in Annual CPA Audit and Compliance Reporting
- Assistance with Other Administrative/Additional Duties as Needed
Requirements
- Associate Degree in Accounting/Finance or Business Administration
- Familiarity with Accounting Information Systems and Electronic Document Storage Retention/Best Practices
- Intermediate Excel Skills (Pivot Tables, Sorting, Filtering, Basic Formulas)
- Ability to Work within Multiple Systems at Once Ensuring Data Integrity Aligns Across all Platforms
- Organizational Skills: Strong ability to multitask, manage multiple priorities, and maintain meticulous records.
- Communication and Interpersonal Skills: Excellent verbal and written communication skills to interact effectively with children, parents, and staff
- Problem-Solving: Ability to quickly and effectively address challenges that may arise.

About Us
Great Bay Kids is a non-profit organization dedicated to providing quality early childhood education and school age enrichment programs for children. Our early education facilities are located in Exeter and Portsmouth, NH with school age programs offered in Exeter and Portsmouth (Summer only).
