Summary

Job Summary: Responsible for the administrative functions of the school system’s three childcare programs, including, but not limited to:

  • Ensure the safety and well-being of children enrolled in the programs
  • Hiring, training, and evaluating program employees
  • Monitoring all income and expenses to ensure the financial stability of programs
  • Budgeting for the purpose of purchasing needed equipment and supplies
  • Monitor payroll costs by staffing according to the daily census
  • Preparing periodic reports for Central Office and state agencies
  • Ensuring that quality standards are met
  • Enrolling new children to maintain maximum occupancy
  • Preparing newsletters and correspondence for programs
  • Seeking and writing for available grants

Duties

Job Duties:

  • The director is responsible for setting the tone for the facility, managing the curriculum, overseeing physical facilities, hiring staff, and managing the overall image of the center.
  • Ensure compliance with all local, state, and federal laws governing child care, both in regard to the physical environment and the staff, and manage the financial affairs of the child care facility.
  • Ensures that the program provides for the health, safety, and comfort of the children by:
  1. Maintaining required records on each child
  2. Keeping daily attendance records
  3. Ensuring that the facility, playground, and all equipment meet health and safety standards.
  4. Documents and reports incidents and accidents to the Superintendent or the Chief Operating Officer in Central Office, if necessary. Also submits the required notice of accidents that require more than first aid to the State Licensing and Regulation within 24 hours of an accident.
  5. Ensures that each facility conducts monthly fire drills and quarterly tornado/earthquake drills and documents each drill.
  • Ensure that the center's physical facilities comply with local, state, and federal laws and are a safe and appropriate environment for children. Knowledge of local, state, and federal laws regarding safety requirements and inspection and certification procedures, and ensure that the center complies with those requirements.
  • Evaluates needs and purchases equipment and supplies for the center or approves requests to purchase materials and equipment.
  • Interviews, hires, and trains new staff, developing/revising job descriptions, maintaining staff development and education, and, if necessary, managing disciplinary processes.
  • Ensures that all staff meet the requirements for their jobs before employment starts; for example, gets clearance from Central Office and copies of FBI and State Background checks, and proof of TB skin test. The director orders the Central Abuse and Neglect (CAN) background check on new employees, ensuring that the staff member is not left alone until the CAN check comes back. 
  • Center directors work with qualified center staff to develop an appropriate curriculum and ensure that it complies with state and federal requirements.
  • Ensures that all staff complete individual annual professional development plans to meet state requirements.
  • Conducts and documents regularly scheduled staff meetings in each program.
  • Conducts staff performance evaluations at least annually, but more frequently as warranted.
  • Coordinates/plans staff training opportunities through 4C or Child Care Council to ensure that each staff member receives the required 15 hours each anniversary year. Ensures that enough staff have First Aid/CPR training so that there is always at least one person with training during all operating hours. 
  • Responsible for maintaining own qualifications; Kentucky STARS Program requires child care center directors to complete 18 hours of continuing education courses each year.
  • The director often serves as the 'face' of the program, managing communication with parents and the community. The director develops policies for the school and communicates the policies to parents and staff. Directors also often meet with parents of prospective students to determine whether the school is a good fit for the family.
  • Responsible for the financial management of the center. The director will work with the district’s finance officer to develop an annual budget, manage the accounting, submits accounts payable to Central Office for payment using standard payment requisition forms.
  • Director does bi-weekly billing and bi-weekly processing of Tuition Express. Contact parents/families with delinquent accounts to develop a payment plan if a family gets behind on childcare. This may include suspension or termination of service until the account is paid in full. 
  • Director does monthly billing to state agencies for subsidized children, ensuring that the appropriate documentation (i.e., sign-in/out sheets) is maintained and kept on file on site for 5 years.
  • Director works with other department directors within the school system when necessary (i.e., technology, cafeteria, housekeeping, maintenance, and principals at Early Childhood, Primary School, and Elementary School)
  • Collaborates with the staff at Bardstown Early Childhood Education Center to ensure continuity and best practice for all children enrolled in the preschool child care program, with emphasis on children with special needs.
  • Conducts annual re-enrollment, pre-enrollment for days when there is no school, including but not limited to intercessions and school breaks.
  • Prepares for, plans, and informs parents about field trips and/or student activities during breaks. (make reservations, determine cost-per-child, order transportation from bus garage, etc.)
  • Ensures that all supplies (including snacks and breakfast foods) are purchased and on-site when needed.
  • Prepares and posts monthly snack menus, making sure that they meet nutritional guidelines.
  • Submits monthly Record of Meals served at Staff Child Care to Central Office for payment to the cafeteria service.
  • Accepts new responsibilities willingly and performs other tasks as requested.

Requirements

Qualifications: At least 3 years of previous experience as Director of Type I Licensed Childcare Program with Kentucky Director’s Credential preferred, but will consider Childcare Development Associate or other degree in a related field with proof of related experience as director or manager. Strong oral and written communication skills. Must be organized and detail-oriented.

Nice To Haves
