Summary
First Roanoke’s Child Development Center is looking for a part-time Records & Tuition Manager to join our team. Flexible days and hours available! Experience with financial software (like ProCare) is a plus, but not required. If you’re organized, personable, and able to handle confidential information, we’d love to hear from you!
Duties
- Process enrollments and withdrawals, including collecting required documentation, updating family information in ProCare, and ensuring all necessary forms (e.g., emergency contacts, health records, immunization proofs) are complete and current.
- Generate and send monthly/periodic tuition statements, late notices, and other billing communications to families.
- Make weekly bank deposits with the Center's financial institution.
- Reconcile daily/weekly tuition payments and deposits with bank statements and ProCare/Tuition Express records to ensure accuracy.
- Prepare regular financial reports on tuition revenue, outstanding balances, and payments.
- Assist with annual budget input related to tuition revenue and family accounts.
- Maintain confidentiality of all family financial and personal information in accordance with church policies and applicable laws (e.g., FERPA-like protections for educational records, though not strictly FERPA in private settings).
- Support family communication by responding to inquiries about billing, accounts, enrollment availability, and general center information via phone, email, or in-person.
- Assist in preparing for and supporting state licensing inspections or church audits related to records, attendance, and financial compliance.
- Collaborate with the Director on updating family handbooks, policies, or forms as needed (e.g., tuition rates, payment policies).
- Perform light office tasks such as filing, copying, ordering supplies for the office, and maintaining the front office area.
Requirements
- Previous experience in accounts receivable, billing, tuition management, or office administration (preferably in childcare, preschool, school, or church setting).
- Proficiency with childcare management software (e.g., ProCare, Tuition Express, or similar systems).
- Basic knowledge of bookkeeping principles and financial reconciliation.
- Excellent written, verbal, and interpersonal communication skills.
- Highly organized and able to work both independently and with others.
- Ability to take initiative to complete assignments/tasks for the overall success of one's ministry.
- Maintain a professional appearance, attitude, and work ethic at all times.
- Strong, active person who not only advocates the Christian beliefs and principles of First Roanoke but manifests them in all aspects of his/her life and is seen as a leader and encourager by all those with whom he/she interfaces.
Nice To Haves

About Us
First Baptist Child Development Center / First Place Preschool has been providing quality childcare in the Roanoke Valley for more than 40 years. We operate year round, Monday through Friday from 7:30-5:30. We care for ages 18 months through Pre-K. We also have a certified Kindergarten and Summer Program for K-5th Grade students.
Salary : $17 to $18/Hr
