Summary
The Administrative Coordinator will help grow and strengthen Vermont’s early childhood education workforce through projects that support early childhood educators to increase their credentials and improve their practice.
Primary responsibilities are to complete administrative needs and data entry and maintenance for the T.E.A.C.H. Early Childhood® VERMONT Scholarship Program, the Vermont Early Childhood Education Apprenticeship and Youth Apprenticeship Programs.
Reporting to the Director for ECE Career Advancement and working as part of VTAEYC’s staff team, the Administrative Coordinator will also help implement a growing portfolio of projects that advance a diverse, dynamic early childhood education profession.
Duties
Provide efficient, timely, data entry and quality control for the T.E.A.C.H. Early Childhood® VERMONT Scholarship Program, the Vermont Early Childhood Education Youth Apprenticeship and Apprenticeship Programs.
- Enter, track, and verify data in FileMaker database and Excel Spreadsheets. Maintain the integrity of FileMaker database by posting data corrections and other Requests for Claim Corrections as needed. Complete data entry and additional tasks needed in Wizehive Portal and the T.E.A.C.H. FileMaker database with oversight from the Director for ECE Career Advancement. Maintain continuous quality control in the database to ensure accurate reporting. Work with T.E.A.C.H. technical assistance center to troubleshoot as needed.
- Complete data entry in the RAPIDS database for the Vermont Early Childhood Education Apprenticeship Program.
Complete administrative tasks for Career Advancement Department including:
- Offer Customer Service to program recipients with various scholarship needs, in coordination with the Career Advancement Team .
- Maintain organization of T.E.A.C.H.’s virtual filing system, including keeping recipient files up-to-date and general forms current.
- Assist with maintaining records for the Vermont Early Childhood Education Apprenticeship and Youth Apprenticeship Program including work process hours, mentor logs, etc.
- Maintain participant lists and various mail and email distribution lists for programs.
- Provide ongoing support for T.E.A.C.H. Continuous Quality Improvement (CQI) preparation.
Assist with coordination of Career Advancement Advisory Committee Meetings.
- Create and distribute agendas
- Serve as note taker at meetings
- Provide logistical organization, support and any additional needs
Support the effective and efficient functioning of VTAEYC.
- Partner closely with staff and consultants for consistent, professional communications.
- Actively participate in team meetings, planning, and strategy.
Requirements
- Associate’s degree in a related field, or equivalent
- Proven experience in data entry and administrative support roles.
- Knowledge of and experience with Vermont’s early childhood educator standards, programs, and systems preferred
- Knowledge of and experience using cloud-based platforms, such as Google Drive, Microsoft Office, Slack, Zoom, and Survey Monkey

- Strong communication skills both written and verbal
- Ability to respond empathetically and accurately to questions
- Work location is flexible within Vermont; position may be home-based or work out of VTAEYC’s shared office in Chittenden County
- Work includes extended computer usage and the need to read and assimilate information online
- Position will require occasional evening and weekend work to meet the needs of early childhood educators and other stakeholders.
- Occasional travel in-state will be required; out-of-state travel possibly needed annually
